Please review the content of this policy thoroughly prior to booking. By reserving a charter with CollectivePlains, you are consenting to and accepting these refund conditions.

Cancellation and Refund Policy

72 Hours or More Before Charter

100% Refund

Entitled to: Complete refund minus transaction fees

Refund Timing: 5-7 business days

Transaction Fee: €50 for credit card payments

Request Policy: Must be made officially in writing through email or telephone

Between 24 and 72 Hours Prior to Charter

50% Refund

Entitled to: 50% of the aggregate charter cost

Refund Timing: 7-10 business days

Transaction Fee: €25 deducted from the refund amount

Request Policy: Valid justification necessary; subject to administrative expenses

Less than 24 Hours Before Charter

No Refund

Entitled to: No refund will be issued

Exception: Consideration of emergency scenarios is possible

Alternative: Consideration for a charter credit at the discretion of the management

Request Policy: Emergent claims need supporting documentation

Cancellations Due to Weather

Weather Assurance

Your safety is our first concern. If our certified captain deems the weather too hazardous for charter activities, you're offered flexible alternatives:

  • Complete Refund: Provided when rescheduling is not feasible
  • Change of Date: Modify your charter to the next convenient date at no extra charge
  • Charter Credit: Issue a voucher valid for a year from the original booking date

Assessment Procedure for Weather

Evaluating the weather involves:

  • Analyzing wind velocity and direction
  • Surf height and ocean conditions
  • Forecasts for visibility and precipitation
  • Marine advisories and alerts
  • The captain's professional judgement on safety

Decision Timeframe: Decisions on weather-related cancellations are made at least 4 hours before the scheduled departure.

Refunds for Medical Emergencies

Qualifying Emergencies

We recognize that unforeseen health emergencies can happen. The circumstances listed below may be eligible for exceptional review:

  • Sudden medical conditions or accidents requiring hospital care
  • A family member's passing
  • Urgent military orders or recall
  • Legal obligation such as jury duty or subpoena
  • Major natural events impacting travel

Requirements for Documentation

When requesting an emergency refund, please provide:

  • Medical documentation or proof of hospitalization
  • Death certificate (if relevant)
  • Detailed military directives
  • Official legal notices
  • Public emergency announcements or travel warnings

Procedure: Once appropriate paperwork is submitted, emergency refunds are processed within 3-5 business days.

Cancellations for Operational Reasons

Technical Difficulties

In the event of mechanical failures with the vessel that can't be resolved:

  • Substitute Vessel: We'll try to arrange a similar replacement
  • Complete Refund: Offered if a suitable vessel isn't available
  • Partial Refund: Given if the alternative yacht has a different price structure
  • Reparation: Further compensation could be provided for any trouble caused

Unavailability of Crew

In the uncommon situation where suitable crew isn't available:

  • Substitute crew members will be sought when possible
  • Complete refund given if the charter is unable to proceed
  • Option for rescheduling without additional costs

Refund Procedure

Method of Payment

Refunds are directed back to the original payment method:

  • Credit Cards: 5-7 business days
  • Direct Bank Transfers: 7-10 business days
  • Cash or Cheque: 3-5 business days

Fees for Processing

Credit Card Transaction

€50 charge for cancellations made 72 hours or more in advance

Refunds via Bank Transfer

€25 charge applicable to all bank transfer refunds

Overseas Transactions

Extra fees might be applicable for transactions across borders

Credit for Charter Changes

Issuance of Credits

Charter credits might be proposed as an alternate to refunds under specific conditions:

  • Last-minute cancellations (within a day)
  • Cancellations due to weather
  • Voluntary requests for rescheduling
  • Interruptions due to operations

Stipulations for Credits

  • Validity: Effective for a year from the issue date
  • Transferability: Non-transferrable to other individuals
  • Worth: Corresponds to the full charter amount, excluding fees
  • Applications: Usable for any future charters we offer
  • Lapse: Expires after 12 months without the possibility of renewal

Compensation for Partial Services

Interruptions in Service

In case your charter is disrupted or cut short due to reasons we control:

  • A refund that is prorated for the time not used
  • Credit for another charter equal in value
  • Complimentary offerings or enhancements

Disturbances Caused by Guests

If an early charter termination is necessitated by actions or breaches of safety by the guests:

  • No refund for the portion of the service not utilized
  • Full payment must still be met
  • Potential for extra charges

Disputing Refund Decisions

If you are unsatisfied with a refund determination, you may choose to:

  • Request a secondary evalution by our administrative staff
  • Provide supplementary materials or proof
  • Engage with consumer advocacy groups
  • Pursue any legal options pursuant to the law

  • Confirmation code for your booking
  • Date and time of the charter
  • Cancellation rationale
  • Any pertinent documentation (as needed)
  • Chosen method for the refund

Step 3: Assessment and Execution

We will acknowledge receipt of your request within a day, evaluate it in accordance with our policy, arrive at a decision within two days, and then proceed to process any entitled refunds as per our stated timelines.

Additional Remarks

  • All claims for refunds are to be lodged in written form
  • Refunds are issued in € no matter the currency used for payment
  • We highly recommend obtaining travel insurance
  • The conditions listed in this policy can be subject to modifications, provided a 30-day notice is given
  • Reimbursements may be subject to taxes and regulatory stipulations
